Aircrews have many Requirements that need to be tracked and updated constantly, The following Article will describe how to create these as Recency Items to allow for ease of tracking in Air Maestro.
- Select General > Setup > Operations > Recency Setup. The Recency Setup screen is displayed
- Click Add.
The Edit Item dialog is displayed.

Select the department the Recency Item applies to from the Department drop-down list.

Select the Item radio button.

Enter the details of the Item
Name The name of the Recency Item that will display in the Recency page Department Select the department the Recency Item applies to (e.g. if the requirement this Recency is tracking is only for Pilots, select "Pilot") On Type Recency Will allow you to record the Aircraft type the Recency record was conducted on. Type Specific Will create a copy of the Recency Item for each Aircraft Type listed on the User's Endorsements page Target Count Enter the number of times the Recency Item must be completed in the specified period.
Months Apart: Records entered will only be valid if they are dated at least the specified number of Months Apart.Increment to the target count as Items are performed: If this is the first time the user is updating this item, then it will be satisfied with just one record until you reach the Target Count, at which time it will expect the Target Count's number of valid records.
Period Enter the validity period for the Recency Item and select the Days or Months radio button (Leave blank if it is only ever needed to be conducted once) Caution Enter the period (in weeks) from when contacts should be warned of the approaching expiry date Renewal Window Specify the number of Days/Months before the Expiry date should be made the Renewal window. If the Item is updated during the Renewal Window, the new expiry date will be based on the current expiry date instead of the date the Item was conducted Grace Period Specify the number of Days/Months after the Expiry date that should be the Grace Period; this will allow for the item to remain valid during this period. Drop Dead If a user lets this item expire, they will be unable to log into Air Maestro until it is updated with a valid record. Manual Expiry Date Allows the manual entry of an expiry date. Self Updateable Allows for the crew to update this item themselves; otherwise, they would need the appropriate access level to do so. Update Parent Item (Cascading) Allows for the record updating of this Recency Item to update the Parent Item linked to it, and subsequently, its Parent Item as well as the new expiry date will be based on the current expiry date instead of the date the Item was conducted Allow Future Dates Allows for the entry of Future Dates as a Last Conducted date, which will cause the item to become valid when this date is reached End of Month/Quarter/Third/Year Offset the Expiry Period to the end of the month/Quarter/Third/Year the expiry date lands on Instrument Approach The records of this item will appear as an Instrument Approach in logbook reports pulled from the Timesheets Tools menu Expiry Offset Allows the entry of a positive or negative number to offset the Expiry date by that number of days Recency Scheduling Allows for this Item to be scheduled from the Recency Screen, you can specify whether selecting a Trainer and/or Location should be Mandatory. Update Item (Non-Cascading) Select a Recency Item to be updated with the same record as this Item (this will not update the Parent Item of the selected Recency Item) Default Select the default status for this item as either Required, Optional or Hidden Contacts Select the contacts responsible for this Recency Item Email Contacts when this Recency Item is updated An email will be sent to the contacts of this item containing a list of users who updated this item (and other items with this setting active) on the previous day Documentation Type File Upload: The user will upload a file directly to the Recency record when updating it.
Link to Repository: Allows the sharing of a link so Crew can upload documents to an external Repository (e.g. SharePoint)
Document Required for Each Item: Forces the user to attach a document, or the Recency Record will not save.
